Executive Assistant to the CEO

Location: Pitäjänmäki, Helsinki - Finland

In this position you will work side by side with the CEO and owner of Teknos; and thus, be in a very visible and value adding position in the organisation. The main purpose of this position is to be the gate keeper and a trouble shooter / connector for the CEO and by doing so contribute to Teknos' vision to be a sustainable coatings solution provider close to the customer.  

In practise, you will be enabling the CEO, Paula Salastie, to prioritize various projects and help by researching for content, creating, correcting, sparring and demanding timely delivery of her and others' tasks, presentations and documents. You will manage and coordinate the CEO's time and travel arrangements as well as organize events and meetings. 

This location is based in our headquarters in Helsinki, Finland.  ​

Daily tasks and responsibilities

  • Organising and coordinating CEO's calendar, acting as an enabler  
  • Setting up events such as the monthly management meetings, annual Managing Director meeting, board meetings and other possible meetings and events 
  • Active participation in the monthly management meeting by protocolling, setting up tasks derived from the meeting and following them up as well as ensuring that material is ready from all participants in due time 
  • Supporting the CEO in the delivery of her projects and tasks, by researching, scheduling, delivering inputs, feedback, presentations and documentations 
  • Travel management  
  • General back office tasks 
  • Communication support ​

Qualifications

You are a friendly dragon to guard the nest, you need to have a sense of humour.

You are a good listener with emotional awareness, you pay attention to your surroundings and people.

You can work on multiple projects at the same time, set priorities wisely, remain calm when priorities change or when sudden events or changes occur.  

You are a conceptual thinker and well organised.

You are tough, but fair. 

You have good knowledge of modern IT tools (O365, SharePoint, social media, etc.). 

You have good cultural understanding. 

You are proficient in English, any other Teknos language is an asset. 

You have at least 5 years of relevant job experience and a master's degree in Business Administration or Engineering degree and MBA. Knowledge in law and finance issues are very useful in this position. Any prior project management experience and skills are also valued. ​
